1. About this policy

Brendan Elliott (“I”, “me” or “my”) respects your privacy and takes the handling of personal information seriously.

This Privacy Policy explains how I collect, use, store and disclose personal information when you visit my website, contact me, or engage in one-to-one mentoring and coaching.

My work involves conversations about faith, family, relationships, work, leadership and personal formation. I recognise that these conversations can involve sensitive and deeply personal information, and I aim to handle that information with care and respect.

This policy is intended to describe my actual information-handling practices and will be reviewed as those practices change.

2. What information I collect

Depending on how you interact with me, I may collect the following information:

Contact and enquiry information

  • Your name, email address and telephone number.

  • Information you provide through the contact form on my website.

  • Communications you send to me by email, phone or other agreed channels.

Mentoring and coaching information

  • Digital notes I make during or after our conversations.

  • Information you choose to share about your faith, family, relationships, work, leadership, goals, challenges and personal circumstances.

  • Agreed actions, reflections, progress and matters relevant to our work together.

Administrative and payment information

  • Appointment and scheduling details.

  • Records of services provided, invoices, payments and related business correspondence.

Website information

  • Technical information that may be collected when you visit the website, such as browser and device information, IP address, pages visited and website usage data, depending on the site's configuration and the services enabled.

You can choose what information you include in an enquiry. Please avoid submitting highly sensitive details through the website contact form unless they are necessary to begin our conversation.

3. Sensitive information

Because of the nature of my work, you may choose to share information about your religious beliefs, relationships, family circumstances, personal difficulties or other sensitive matters.

I collect and record information relevant to our work together, where appropriate. I aim to limit the information I retain to what is reasonably necessary for the purpose of providing my services and managing the professional relationship.

I do not ask you to provide medical records, medication details or other clinical information as a standard part of my mentoring service.

My mentoring and coaching service is not a substitute for psychological therapy, medical care or other clinical services. Where a matter falls outside my role or competence, I may encourage you to seek appropriate professional support.

4. How I use your information

I may use personal information to:

  • Respond to enquiries and determine whether my service is suitable for you.

  • Arrange and provide mentoring and coaching conversations.

  • Maintain relevant digital notes and records of our work.

  • Communicate with you about appointments, agreed actions and follow-up.

  • Manage billing, payments, accounting and other business administration.

  • Maintain website functionality, understand website usage and improve the site.

  • Meet applicable legal obligations and protect the safety of people where necessary.

I will not use your personal information for an unrelated purpose unless you have consented or the use is otherwise permitted or required by law.

5. How I store and protect your information

I keep digital notes relating to my mentoring and coaching conversations, together with relevant contact, communication and administrative records.

I take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. These steps may include access controls, account security and the security features available through the digital services I use.

Some information may be held by third-party service providers that support my website, email, digital storage, scheduling or payment processing. Depending on the services used, information may be stored or processed outside Australia.

No method of electronic storage or transmission is completely secure. I cannot guarantee absolute security, but I take the protection of personal information seriously.

6. When I may disclose information

I do not sell personal information.

I may disclose relevant information where necessary to:

  • Service providers who help operate my website, manage communications, store records, schedule appointments or process payments.

  • Professional advisers, such as legal or accounting advisers, where reasonably necessary.

  • Relevant authorities or other people where disclosure is required or authorised by law, or where a disclosure is otherwise legally permitted in circumstances involving a serious safety concern.

I aim to limit any disclosure to what is reasonably necessary for the relevant purpose.

Where third-party providers process information on my behalf, their own privacy policies and terms may also apply.

7. Confidentiality and its limits

I intend our mentoring conversations to provide a respectful and appropriately private space for honest discussion.

I will treat information you share with care and will not disclose the substance of our conversations to others except with your consent or where disclosure is required or otherwise permitted by law.

Confidentiality is not absolute. Circumstances involving serious risks to your safety or another person's safety, or other legal obligations, may affect what can remain confidential.

Before we begin working together, I will explain the confidentiality arrangements and any applicable limits relevant to my role.

8. Website cookies and analytics

My website may use cookies and similar technologies to support website functionality, understand visitor activity and measure site performance. The information collected depends on the website settings and any analytics or other services enabled.

You can manage cookies through your browser settings. Disabling certain cookies may affect how parts of the website function.

9. Accessing and correcting your information

You may contact me to request access to personal information I hold about you or to ask for it to be corrected if it is inaccurate, incomplete or out of date.

I will respond within a reasonable period and handle your request in accordance with any applicable legal requirements. In some circumstances, access may be restricted where the law permits or requires this.

Contact me using the details in the Contact and privacy enquiries section below.

10. How long I keep information

I retain personal information for as long as it is reasonably necessary for the purposes described in this policy, including providing services, maintaining appropriate records and meeting any applicable legal or business obligations.

When information is no longer required, I will take reasonable steps to securely delete it or de-identify it, where appropriate and lawful.

The specific retention period may depend on the type of record and any applicable legal requirements.

11. Your privacy choices

You may choose not to provide certain information, although this may limit my ability to respond to your enquiry or provide the service you request.

You can contact me with questions about the personal information I hold, request access or correction, or raise a concern about how your information has been handled.

If you have a privacy concern, I encourage you to contact me first so I can understand and address it.

12. Privacy law and complaints

I aim to handle personal information responsibly and in accordance with the privacy obligations that apply to my activities.

The application of the Australian Privacy Act 1988 and the Australian Privacy Principles depends on the circumstances and the nature of the services provided. Nothing in this policy is intended to misstate the legal status of my practice.

For general information about Australian privacy rights and obligations, visit the Office of the Australian Information Commissioner (OAIC).

If you believe your privacy concern has not been adequately resolved, you can find information about making a complaint through the OAIC privacy complaints guidance.

13. Changes to this policy

I may update this Privacy Policy from time to time to reflect changes to my services, information-handling practices or legal obligations.

The current version will be published on www.brendanelliott.net. The date at the top of the policy will indicate when it was last updated.

14. Contact and privacy enquiries

If you have a question, request or complaint about privacy, please contact me directly.
